v4.0.11: Your Employee Tells You When It Is Done, Wakes on Your Words in WhatsApp Groups, and Can Be Kept Inside Your Workspace

The useful thing about v4.0.11 is not that your employees can now interrupt you. It is who decides how.

Your employee tells you it is done. You decide when that reaches you.

There is a new skill called user-notif, and the design behind it is worth naming because it is the part that makes the feature livable.

The employee decides what happened and how much it matters: a long task finished, a result you were waiting on arrived, or it is blocked and needs you. It rates that as normal, important or urgent. That is the whole of its job. It does not decide when to reach you, which device to use, or whether to try again. It will not ping you about small steps, and it will not notify you about something while you are already chatting with it.

Everything else is yours, in a new "Employee notifications" panel under dashboard Settings, available to every user:

General. On or off, the lowest level allowed to reach you, and which employees are allowed to.

Quiet hours. Time ranges on chosen days, in your time zone. Anything that arrives during them waits and comes as a single notification at the end. You can let urgent ones through.

Devices. Phone, desktop app and browser, in the order you want, either the first available or all of them. If Geta.Team is already open in front of you, nothing is sent at all, because a toast is enough. An open desktop app or browser tab no longer announces things on its own: it notifies only when it is the device you chose. A phone with the mobile app gets it once, in the app, rather than in the app and the browser.

Follow-up. If you have not seen it after a window you set, between 5 minutes and 2 hours, the employee comes after you through its own channels in your chosen order: Telegram, WhatsApp, email, SMS, call. Once, not repeatedly. "Seen" means you opened the notification, or simply did anything in Geta.Team.

Limits and grouping. A ceiling per hour and per day, 20 and 100 by default. Notifications that land close together merge into one. You can collapse the whole thing into a single daily summary at a time you pick. And you can choose to show only who and when instead of the content, which is the setting you want on a lock screen.

There is a quieter addition underneath all this. Your employee now knows where you are writing from, whether that is the web app on a computer or a phone, the desktop app or the mobile app, without it cluttering the chat. It can also ask where you last wrote from, whether you are currently in quiet hours, and how many notifications you have left. So it can reason about whether now is a good moment, rather than just firing.

WhatsApp groups wake on your words

When an employee is set to react "when mentioned or answered" in a group, there is now a Trigger words field: a list of words or expressions, one per line.

A group message containing one of them wakes the employee, on top of the existing triggers of an @mention, a reply to its messages, or its first name. Matching is whole words only, so "pv" will not fire on "pvc", and case and accents are ignored. The list applies to every group in that assignment.

Worth noting for cost: only matching messages wake the employee, so this does not quietly turn into reading everything. The "every message" mode is unchanged if that is what you actually want.

White label can keep employees inside the workspace

Two new switches in White Label settings, both off by default: Block employee export and Block employee import.

Turn either on and it applies to everyone except the instance owner, admins included. The Export action disappears from the employee cards, or Import employee disappears from the sidebar, and the server refuses the request rather than just hiding the button.

The reasoning differs for each. Blocking export protects employees a reseller has spent real time training for its customers. Blocking import keeps outside employees, with whatever instructions they carry, out of the workspace. Only the owner can change these, and they save the moment you flip them.

Disable a user

Admin > Manage Users gets a button to disable or enable any account, including the instance owner and other admins, though never your own.

A disabled user is signed out immediately from every page, chat and app they have open, cannot sign back in ("Your account is currently blocked. Please contact your administrator."), and every request they make is refused. Enable them again and everything returns. Their employees keep working throughout, which matters if you are disabling someone during a handover rather than deleting them. On the free tier, the existing Ban behaves as before.

The WhatsApp document that was silently disappearing

This one had been quietly costing people work. When somebody sends a PDF with a few words typed underneath it, WhatsApp wraps that differently from a document sent on its own. The employee did not recognise the wrapper and dropped the whole thing without a word, so invoices and files sent with a message simply never arrived.

Both the document and its message now reach the employee. The same wrapper problem affected disappearing messages and view-once photos and videos, which were being read the same wrong way, and an @mention written inside one of those now wakes the employee in a group as it should.

Two more WhatsApp fixes. Messages that woke an employee could vanish from the chat after a refresh, because WhatsApp handed them over without saying which conversation they belonged to, so they sometimes landed in a spare one. The employee answered, then the exchange disappeared. They now always go to the employee's chat, like every other channel. And the WhatsApp assignment panel scrolls properly again, so the Assign button is no longer stranded below the fold.

The browser extension now updates itself

Chrome downloads a new extension version on its own but only installs it once the extension is idle. Ours never is, because its connection to Geta.Team stays open. The practical result was that a new version waited until the browser was fully closed, and plenty of people simply stayed on an old one without knowing.

The extension now restarts itself as soon as Chrome signals a new version is ready, after finishing whatever an employee happens to be doing in the browser. It takes about a second, and tabs you already have open pick up the new scripts immediately with no reload. The only delay left is Google's review of each release, which is not ours to fix.
