v4.0.4: Set Up an Instance Before Any AI Is Connected, Imported Employees Answer Straight Away, and Pinch to Zoom in Meetings
v4.0.4 is a smaller release with a clear theme: things that used to need a workaround now just work. Resellers can set up an instance for a client before any AI is connected, imported employees answer straight away, and email setup takes effect without a restart. On a phone, you can now pinch to zoom into a screen someone is sharing in a meeting.
Set Up an Instance Before Any AI Is Connected
Resellers often prepare an instance before handing it to a client: sending domain, DKIM, users, branding. Until now, an instance with no AI connected greyed out almost all of Settings, leaving only API Keys and LLM Providers. You could not configure the client's email domain until an AI was in place.
Everything that prepares the instance now stays open without AI: Email (domain, DKIM and DNS), Manage Users, White Label, Admin Settings and Guardrails. Connectors open as soon as the instance has at least one employee, since connectors are given to an employee. The screens that only watch employees, such as Usage Overview, Video Calls and Containers, still wait until there are employees to watch.
The same goes for the licence. On a fresh Community instance, the "Upgrade to Enterprise" box sat under the grey veil of the sidebar and could not be clicked, so you could not even activate the Enterprise licence that Email and the admin settings need. It is now clickable from the start.
Imported Employees Work Straight Away
An employee used to keep the AI it had on the instance it came from. Export it while it ran on Claude, import it on an instance with only Codex, and it stayed on Claude and simply did not answer, until someone found Configure > Intelligence.
Imported employees now get their AI the same way new employees do: Claude or Codex if this instance has the same one, otherwise the best available here (Claude, then Codex, then the oldest custom model). A custom model is never carried over, since it belongs to the other instance. Exports now record whether the employee ran on Claude or Codex; older exports simply get the best available.
Employees installed by the platform on a brand-new instance, before any AI exists, now start with no AI rather than a broken one. Their chat says "Connect a language model first", and as soon as one is connected, the employee picks it up the first time it is used, by chat, Telegram, email or its own heartbeat.
Along the same lines, the "pick an AI" window is gone, and so is OpenCode. The instance now chooses the AI with the same rule everywhere: creation, import and first start. An employee still marked OpenCode on an older instance gets a real AI the next time it starts.
Email Setup Takes Effect Immediately
Saving a sending domain and DKIM key already reloaded the email server, but the app's other processes kept the old settings in memory for up to five minutes. The email server could pick up the previous domain or key from one of them and keep it until Geta.Team was restarted, so employees' emails went out with the wrong signature, or not at all.
Now every process drops the old settings at once, and the email server always reads them from the database. Removing the email setup also applies immediately.
The DNS step also gets a Copy all DNS records button. Instead of copying each value one at a time and switching back and forth with your DNS provider, you get every record in one block of plain text (purpose, type, name, MX priority and value), ready to paste into a note or a support ticket.
Pinch to Zoom Into a Shared Screen
Code, dashboards and documents shared in a meeting were unreadable on a phone and could not be zoomed. Now two fingers zoom into the shared screen, up to five times, centred where your fingers are. Once zoomed, one finger moves around, and a double tap brings it back to normal. Only the shared screen zooms, never the page, so the meeting controls stay put. It works in portrait, landscape and full screen.
Also in This Release
- AI employees are back in the Team panel. The Team panel at the bottom of the sidebar now has a searchable "AI employees" section, so you can open an employee's chat window from anywhere, not only from its dashboard card. The panel also appears when an instance has employees but no human colleagues yet.
- Mac file picker fixed for imports. Importing an employee or a skill on macOS greyed out every .tar.gz archive, so you had to switch to "All files". Archives can now be picked straight away, as on Windows.
- Subscription emails under white label. In Usage Overview on a white-label instance, the emails of the Claude and Codex accounts are now visible to the instance owner only, not to other administrators. Without white label, nothing changes.
Why This Matters
None of these changes is a headline feature, but each one removed a moment where someone had to stop and work out why something was not working. For resellers in particular, v4.0.4 means an instance can be fully prepared, branded and licensed before the client ever connects an AI.
